The identity contains a set of email messages, contacts, tasks, calendars, accounts settings, and more. Your identity is located in the Microsoft User Folder data.

If you have any of the following problems, the database might be damaged, and you might have to rebuild your identity database by using the Microsoft Database Utility:
 

  1. Outlook doesn’t open, stops responding, or quits unexpectedly.
  2. Outlook items don’t open, or the item that opens is not the item that you selected.
  3. Blank lines appear in the Outlook message list or in Outlook contacts.
  4. Outlook contact entries are not displayed correctly.
  5. You can’t find information that you added to Outlook, such as a calendar event or a contact.
  6. When you perform a search in Outlook, the search results don’t match the criteria that you set.
  7. A blank Office Reminders window appears.
  8. The clippings in the Scrapbook disappear.

 

How to rebuild your identity database

Step 1: Quit all applications

You must quit all applications before you continue with the following steps. To quit an application, click the <application name> menu on the toolbar (top), and then select Quit. If you cannot quit an application or do not know how, hold down the Command and Option keys, and then press Esc on your keyboard. Select the application in the Force Quit Application window, and then select Force Quit. Click Force Quit to quit the application.

Note You cannot quit Finder.

When you are finished, click the red close button in the upper-left corner to close the window.
 

Step 2: Determine the amount of space available on the hard disk

Before you perform any database maintenance, make sure that you have at least three times as much hard disk space available as the current size of your Outlook identity. For example, if the identity is 1 gigabyte (GB), there should be at least 3 GB of free space available on the hard disk (not including the space that is needed for virtual memory). 

To determine the size of your identity, follow these steps:

  1. in the Finder, click Go, and then click Home. Open the Documents folder.
  2. Open the Microsoft User Data folder.
  3. Open the Office 2011 Identities folder.
  4. Click the Identity folder.
  5. On the File menu, click Get Info, and then click Get Information. Note the size of the database.

When you create an Outlook identity, hard disk space is allocated for the data that the identity receives as you work. When you add and delete messages, appointments, tasks, and notes, the database can develop wasted space.
 

Step 3: Discover and back up the current identity

To back up your identity, follow these steps:

  1. In the Finder, click Go, and then click Home. Open the Documents folder.
  2. Open the Microsoft User Data folder.
  3. Control-click or right-click the Office 2011 identities folder, and then select Duplicate. A copy of the folder is created.
  4. Quit all applications. 

You have created a backup of your identity (or identities) and are ready to continue.

Note This backup can be used by third-party database recovery software, which generally work better on non-rebuilt identities.

Step 4: Rebuild the database 

  1. Quit all applications. 
  2. Hold down the Option key on the keyboard, and then start Outlook 2011. Note You can also browse to the Database Utility by opening the Application folder and then opening the Microsoft Office 2011 folder. Open the Office folder, and then double-click Microsoft Database Utility.app. 
  3. In the Database Utility window, select the database that you want to maintain, and then click Rebuild.
  4. The Rebuilding Main Identify window will open and show the progress. When the operation is completed, you will receive the message “Your database was rebuilt successfully.”
  5. Click Done.
 

Start Outlook and see whether the problem is resolved. If the problem is not resolved, go to the next step.
 

Step 5: Create a new identity

If you are using Outlook in more than one capacity, such as at home and at work, Outlook may be configured to have multiple identities. Each identity stores separate sets of e-mail, address books, tasks, calendars, account settings, and more.

If Outlook has multiple identities, one of the identities might be damaged. Try to use a different identity to determine whether this is the problem. If an identity is damaged, you must create a new identity to resolve this problem.

To create a new identity, follow these steps:

  1. Quit all applications.
  2. Hold down the Option key on the keyboard, and then click the Outlook icon in the dock. The Microsoft Database Utility will open. Note You can also access the Microsoft Database Utility by opening the Application folder and then opening the Microsoft Office 2011 folder. Open the Office folder, and then double-click Microsoft Database Utility.app.
  3. Click the plus [+] sign to add a new identity, and then type a name for the new identity. For example, type New identity.
  4. Set the newly create identity as the default. To do this, select the newly created identity, click the Action button, and then select Set as Default.
  5. Quit the Microsoft Database Utility, and then restart Outlook and see whether the problem is resolved.

If the previous steps did not resolve the issue, the Outlook database most likely is damaged beyond repair. If there are no viable backups available and there are no other sources of the data (such as another computer or a handheld device), you will have to start from scratch because the data is not recoverable. To start from scratch, you have to drag the Office 2011 Identity folder (only if there are no other identities) to the Trash, and then restart Outlook.

The following article below will demonstrate how to setup your WebSmith Microsoft Exchange Cloud Email account with Outlook 2010.

Note: The following guide applies to customer on an Exchange 2010 environment. If you’re unsure about what Exchange platform you’re on, please contact your administrator. 2013 instructions can be found here.

Simple Email Setup: iPhone – Exchange

Log into your OWA webmail here. Once you are in go into settings by clicking the settings in the top right near your email address. From there you’ll see an icon to setup a mobile device. Click that and fill in the fields. Soon, you’ll receive a text message with a link that you’ll select. After you’ve selected the link from the generated text message, select Install and then select Install now. On the next screen, enter in the password for your email address.

      

Note: if you have the passcode protection on your phone, you may receive a passcode notification to confirm the installation.

5. Your phone will begin the Verification process and you’ll receive a Verified notification once complete. Select Done when when finished. At this point your email account begin syncing your mailbox from the server on your phone. The time length of this process can vary depending on how many days mail is syncing and your connection.

Removing Your Account

If for any reason you’d like to remove your Exchange account from your iPhone, please follow the steps below:

1. From the Home Screen of your iPhone, select Settings. In the Settings screen, select Profile.

2. On the next screen you’ll select Remove and then Remove again on the confirmation screen.

The following article will demonstrate how to setup the BlackBerry Enterprise Service (BES) with your Microsoft Exchange 2010 email account on your mobile device. Let’s take a look at the guide below: 

Note: A BES data plan must be purchased through your provider and added to your account; your administrator will then purchase a BES license and assign to your email address and provide you with an activation pin.

Note: Some of the steps may vary depending on your OS (Operating System). We’ve showcased OS5 & OS6 since they’re the most commonly used OS’ at the moment.

Important Note: We are currently investigating BES10 and awaiting official hosting guidance from Blackberry. Once we have this information we will conduct testing to ensure our BES10 offering has the same Fanatical Support you expect from Rackspace. To date, Blackberry has not released an estimated date to distribute this information. In the meantime, please feel free to continue using ActiveSync.

BlackBerry OS5: 

1. From the Home screen on your Blackberry select, and then select Options.

   

2. Next, select Advanced Options and then select Enterprise Activation.

   

3. Enter in your full email address and the ActivationPassword provided by your administrator, press the Menu button, and select Activate. Your device will then state “Acquiring service connection” and your device will go through the motions of setting up your account. 

   

Note: This process can take anywhere from 2 – 20 mins depending on your connection and how much data you have.    

BlackBerry OS6:

1. From the BlackBerry Home screen, select the Setup icon and then select the Email Accounts icon.

   

2. Select Enterprise Activation, fill in your Email Address and Activation Password and then select Activate. Your device will then state “Acquiring service connection” and your device will go through the motions of setting up your account.

   

Note: This process can take anywhere from 2 – 20 mins depending on your connection and how much data you have.

BlackBerry Folder Redirection: 

To set up your sub-folders, you will first need to set up folder redirection. The settings will only apply to new messages received after the folder redirection changes have been saved. Your BlackBerry software must be version 4.0 or higher. 

1. On the Home screen, go to Messages, select the Menu key (on older models), and select Options, then Email Settings.

2. Select the Menu key and select Folder Redirection and in the Folder Redirection menu, highlight your Mailbox, press the Menu key and select Expand.

3. Highlight the folder you want to enable redirection on, press the Menu key and select Change Option. Press the Menu key and select Save.

Note: If you are unable to select Expand for any of the folders, or if Change Option is unavailable, try turning Wireless Reconcile off and then on again. You can find Wireless Reconcile in Messages > Options > Email Reconciliation.

7. Ensure your email address remains correct.  Leave the Domain field blank and enter the following address for Server

8. Then, select the sign in button. Once connected, you will see a new icon within your settings menu with the name of your new email account.

OWA provides a full functional Calendar with the ability to manage Contacts. OWA also allows users to to create rules, set their out-of-office reply, and manage their domain’s Public Folders, amongst other features. Let’s take a look at the OWA features.  Upon logging in, Outlook Web Access allows several options:

  • This is a public or shared computer: This option allows you to be logged in for 1 hour before logging you out automatically.
  • This is a private computer – This option allows you to be logged in for 24hrs before logging you out.
  • Use the light version of Outlook Web App – This removes some the features of OWA.

  ContactsMicrosoft Exchange 2010 lets users manage their contacts through the OWA interface. Users have the ability to add new contacts, import/export old contacts using a .csv file, set categories and sort through contacts alphabetically, all while syncing to mobile device and email clients.   CalendarMicrosoft Exchange 2010 allows users to manage their appointments and meetings through the OWA interface. Users have the ability to share their calendar, create personal calendars, add shared calendars within their domain and publish a calendar online, all while syncing to mobile device and email clients.  TasksMicrosoft Exchange 2010 allows users the ability to manage their tasks through the OWA interface. Users have the ability to create new tasks, manage their tasks and create task lists.   Public FoldersMicrosoft Exchange 2010 allows users to update their domain’s Public Folders through the OWA interface while syncing with Email clients as well.   OptionsMicrosoft Web Access provides various options to manage their email account.   • Account Information – This section allows you to update your personal information like display name, contact info and and even access settings for email clients to setup Exchange with a IMAP and POP access.
  • Shortcuts – This section allows users to setup your Out of Office notification and also access the auto configuration tool to setup your Outlook email client.

   Organize Email: Inbox Rules

  • Inbox Rules – This section allows you to create inbox rules for incoming mail. You have the ability to route email to specific folders in your inbox tree structure 

  Organize Email: Automatic Replies

  • Automatic Replies – This section allows users to setup their Out of Office notifications for incoming email.

 

Organize Email: Delivery Reports

  • Delivery Reports – Use Delivery Reports to search for delivery information about messages that you’ve sent or received. You can narrow the search to messages with certain keywords in the subject.

   Settings: Mail

  • Email Signature – the ability to add a new signature and assign it to your outgoing email.
  • Read Receipts – choose how to respond to read receipts.
  • Reading Pane – The ability to choose how your email will be displayed and how email should be marked after reading.

If our spam filtering software suspects that an incoming message is spam, it will be sent to the Spam folder. However, in some cases spam messages may be delivered to your Inbox or some messages you want to receive may be delivered to the Spam folder. You can customize your spam filtering settings and level of filtering within webmail.

The Catch All Account:

If you’re account is configured to be the “catch all”, then spam will not be filtered and you will still see messages coming in as [SPAM] even though you may have it set to do otherwise.

Blacklisting Users/Domains:

Email sent to you from domains, email addresses, and IPs on your blacklist will be blocked and will not be delivered to your mailbox. To manage your blacklist, do the following:

  1. Click the Settings link, located in the upper right corner of the webmail window.
  2. In the left pane, click Spam Settings.
  3. Click the Blacklist tab.

To add a domain or email address to the list:

  1. Click the Add button.
  2. Enter a domain or email address in the space provided. Note: We recommend that you not blacklist domains from large email systems, such as hotmail.com or yahoo.com, as this could prevent you from receiving legitimate email. Also, you can use a “%” as a wildcard in the domain or email address (For example: @%.ru).
  3. Click the Add button.

Note: Domains and email addresses that are blacklisted will appear in the Blacklisted Domains & Email Addresses box.

 

To add an IP to the list:

  1. Click the Add button.
  2. Enter an IP or IP range in the space provided. Note: You can use a “%” as a wildcard in the last three octets to specify IP ranges. For example: 216.12.34.%, 216.12.%.%, and 216.%.%.% are all valid ranges.
  3. Click the Add button.
  4. Click the Save button.

Note: IP addresses that are blacklisted will appear in the Blacklisted IP Addresses box.

 

Removing Users/Domains From the Blacklist:

Email sent to you from domains, email addresses, and IPs on your blacklist will be blocked and will not be delivered to your mailbox. To manage your blacklist, do the following:

Click the Settings link, located in the upper right corner of the webmail window.

  1. In the left pane, click Spam Settings, then Click the Blacklist tab.
  2. Click the corresponding Delete button.
  3. To confirm you want to delete the item(s), click the Yes button.
  4. Click the Save button.

Adding users/domains to your Safelist:

Email that you receive from domains, email addresses, and IPs on your safelist will bypass the spam filters, ensuring you receive email from those senders. To add a domain, email address, or IP to your safelist, do the following:  

  1. Click the Settings link, located in the upper right corner of the webmail window.
  2. In the left pane, click Spam Settings.
  3. Click the Safelist tab.

To add a domain or email address to the list:

  1. Click the Add button.
  2. Enter a domain or email address in the space provided. Note: We recommend that you not safelist domains from large email systems, such as hotmail.com or yahoo.com, as this could result in spam arriving in your Inbox. Also, you can use a “%” as a wildcard in the domain or email address (For example: @%.ru).
  3. Click the Add button.

Note: Domains and email addresses that are safelisted will appear in the Safelisted Domains & Email Addresses box. 

To add an IP to the list:

  1. Click the Add button.
  2. Enter an IP or IP range in the space provided. Note: You can use a “%” as a wildcard in the last three octets to specify IP ranges. For example: 216.12.34.%, 216.12.%.%, and 216.%.%.% are all valid ranges.
  3. Click the Add button.
  4. Click the Save button.

Note: IP addresses that are safelisted will appear in the Safelisted IP Addresses box. 

 

Report Spam:

To report unfiltered spam, in any folder other than the “Spam” folder, do one of the following:

  1. Select or open the email, and then click the Report Spam link. Or, right-click the email and select Report Spam.

To report several emails, select the check box next to each email you want to report, then:

  1. Click the Select Action drop-down menu
  2. Select Report Spam

Note: When you report spam, a copy of the email will be sent to Cloudmark, our spam filtering provider, and the email will be moved to your “Spam” folder.

 

Report a message as not spam:

To report a legitimate email that has been filtered into the “Spam” folder, open your “Spam” folder and do one of the following:

  1. Select or open the email
  2. Click the Not Spam link Or right-click the email and select Not Spam.

To report several emails,select the check box next to each email you want to report, then:

  1. Click the Select Action drop-down menu
  2. Select Not Spam.

Note: When you mark an email as “Not Spam,” the email will be moved into your “Inbox” folder, and the sender will be added to your Safelist.

 

Edit Spam Settings per Email user:

Spam filtering tools work to detect and filter out spam. The changes you make to your spam filtering preferences will be in effect regardless of your email software; even if you use Outlook, Netscape Mail, Eudora, etc., your spam will be filtered, according to your preferences, before the email reaches your inbox.

  1. Click the Settings link, located in the upper right corner of the webmail window.
  2. Click Spam Settings, located in the left pane.

In the Spam Filtering section, you can turn spam filtering on or off. Or, you can turn on the Exclusive setting, which will allow you to receive incoming email only from addresses or IPs on your safelist. For more information about safelists, please see the specific topics related to safelists.

If you turned spam filtering on, you will need to specify how you want spam to be handled. In the Spam Handling section, select from the following:

  1. Deliver to the Spam folder—Spam email will be delivered to your Spam folder. To specify Spam folder cleanup options, click the Cleanup Options link:
  • Delete after [    ] days or [    ] total emails—Indicate whether email messages in the Spam folder should be deleted after a certain number of days or a certain number of email messages, whichever occurs first.
  • Never automatically delete spam—Select this if you want your spam messages delivered to the Spam folder, but you do not want spam messages automatically deleted.
  1. Delete the email immediately—Spam email will be deleted automatically.
  2. Deliver to the email address—Spam email will be forwarded to the email address you indicate.
  3. Include [SPAM] at the beginning of the subject line—Spam email will be delivered to your Inbox, but will include the text “[SPAM]” in the Subject line.
  4. Click the Save button

Ok, here is a really easy way to set up your WebSmith Cloud Exchange account automatically in Microsoft Outlook 2010:

These instructions also work very similar with other versions of Outlook as well!

1. Click the Windows Start button, select Control Panel, and then select the Mail icon

Note: You may have to switch from ‘Category View’ to ‘large icons’ or ‘small icons’.

 
2. Select the Show Profiles button, click the Add button and enter in a name for this profile and select the OK button.


 
3. Enter your Display Name, Full Email Address, and Mailbox Password.  Click the Next button


 
4. Enter Full Email Address and Mailbox Password.  Click OK.


 
5. Your account is now successfully set up and ready to use. Click the Finish button.

Obviously, there are a ton of reasons to change your Cloud Email password, whatever your reason here are the easy steps to get it done:

Log into your Cloud Web mail account, look to the upper right corner for the three dashes, click there and select settings:

Then, you’ll see a pop up with a “Change Password” button, simply click that and enter your original, and your choice for your new one and finally confirm it and save:

You will have to meet the minimum password requirements.
